Most commercial cleaning contracts start well. The first month is thorough, the team is attentive, and the standard is exactly what was promised.

The question worth asking before you sign isn't whether a provider can deliver a good first month. It's whether they'll still be delivering it in month six, when the initial attention has faded and you've stopped checking.

These are the questions that surface that answer early.

1. Are you fully insured, and can I see the certificate?

Public liability cover is non-negotiable for anyone working unsupervised in your property. A legitimate provider will send the certificate of currency without hesitation. Any friction here is the end of the conversation.

2. Are your cleaners employees or subcontractors?

Neither answer is automatically wrong, but it changes your risk profile. Employees mean the company carries workers' compensation and controls training directly. Subcontractors can work well, but ask who carries the insurance and who's accountable when standards slip.

3. Will I have the same team every visit?

This matters more than most people expect. A team that knows your site knows which areas need extra attention, where the keys are, and what your standards look like. A rotating roster restarts that learning every visit.

4. Who is my point of contact, and how fast do they respond?

When something goes wrong at 7am, you need one name and one number — not a general inbox. Ask specifically what their response time commitment is for issues.

5. What does your quality assurance process look like?

The honest version of this answer involves documented checks, periodic site audits, and someone senior physically inspecting the work. "We have high standards" is not a process.

6. How do you prevent cross-contamination?

The answer should mention colour-coded cloths and equipment — separate colours for bathrooms, kitchens and general areas. If a provider hasn't thought about this, they're cleaning for appearance rather than hygiene.

7. What happens if I'm not happy with a clean?

Ask what the remedy actually is. A confident provider will offer to return and rectify at no cost. Vague answers here predict vague accountability later.

8. Is there a lock-in contract, and what's the exit clause?

Long lock-in terms protect the provider, not you. A provider confident in their work is generally comfortable with month-to-month arrangements — they expect to keep the work by doing it well.

9. Do you supply your own equipment and consumables?

Clarify what's included. Some quotes look competitive until you discover you're supplying chemicals, bin liners, and bathroom consumables yourself.

10. Can you scale if my requirements change?

If you're likely to add sites, extend hours, or need periodic deep cleans, ask now. A provider who can only service one site at one frequency becomes a constraint later.

11. What are your staff screening and training procedures?

These people will have keys and after-hours access to your property. Police checks, reference verification and documented onboarding should all be standard.

12. Can I speak to a current client with a similar property?

A provider with genuinely happy clients will make this easy. Ask for a reference with a property comparable to yours, not their single best account.

The cheapest quote is almost always the one that gets cut back first. Cleaning is a labour business — if a price is significantly below the market, the hours have been reduced somewhere, and that shows up in month three as skipped tasks.
